AI rescheduling moves a group of appointments when the schedule changes on you. You tell Intake.Dental who is out and for how long — one provider, a few columns, or the entire practice for a snow day. It finds every appointment that now collides, shows you the list, and once you approve, works through it patient by patient: it calls them, apologises, offers openings of the same length, and lets them rebook, cancel, or ask the office to call back. Everyone also gets a practice-branded email confirming what happened. Anything it cannot settle is handed back to your team rather than guessed at.
The same tool at three different scopes. You choose which, and it only ever touches the appointments that actually collide.
Add their time off — a day, a week, the rest of the afternoon. Every appointment in their column over that span is found and moved, and nobody else's schedule is touched.
An assistant is off, so two chairs cannot run. Pick just those columns for that day and leave the rest of the practice working normally.
Snow day, power cut, a funeral. Choose the date and the whole schedule is in scope — every provider, every chair — in one pass instead of a morning of phone calls.
The point is not that software decides to move your patients. It is that you decide once, and then do not spend your afternoon on the phone.
“Hi, this is Riverside Dental calling. I'm very sorry — Dr. Patel is out sick tomorrow, so we need to move your two o'clock cleaning. I have Thursday at ten thirty, or Friday at nine, both with Dr. Patel. Which suits you better?”
A conversation, not a voicemail. The patient can rebook, cancel, or ask for a call back, and the new time is written into your schedule during the call. They get a confirmation email either way.
The questions every dentist asks before letting anything near their schedule.
Slot-finding and the write back into your practice software run through the same engine as the AI receptionist's live calls, so it honours time off, blocks, lunch, column rules and your software's own quirks. It is not a bulk update that ignores them.
You see the full list of affected appointments and write the patient-facing reason before a single call is placed. No sweep ever starts on its own.
Openings are matched to the same appointment length, and kept with the same dentist. Hygiene can move to any hygienist unless the patient asks for their own. If there is no good option, it is flagged for your team instead of forced into a bad time.
No. You choose who is out and the scope, review every appointment it found, and write the message patients receive. Nothing is sent until you approve it.
Yes. Choose the date and set the scope to the whole day, and every provider's column is included in one pass. That is the snow-day case it was built for.
By default the next open slot with the same provider, so continuity of care is kept. You can also let it take the earliest available appointment across the practice when getting people seen sooner matters more.
A call, from the same AI receptionist that answers your phones — it apologises, offers specific alternatives, and rebooks during the conversation. Everyone also receives a practice-branded email confirming the outcome. If you would rather not call, a text-and-email-only sweep is available instead.
Voicemail, no answer and hang-ups are all reconciled rather than counted as done. Those patients are listed for your team as action-required, with the office number and hours sent to them by email in the meantime. Nothing is cancelled and nothing is pushed into an unsuitable slot to clear the list.
Normally it is whoever is at the front desk, for the next two hours, while the phone keeps ringing. Intake.Dental does it instead: pick the provider or the day, approve the reason, and the AI receptionist phones every affected patient, apologises, offers them a real alternative, and rebooks them on the spot.
